Retreat Terms & Conditions

Drams & Cams Scotland Adventure – Terms & Conditions

By booking a place on the Drams & Cams Scotland Adventure, you agree to the following Terms & Conditions. Please read them carefully before confirming your booking.

 

1. Booking & Payment

1.1. A non-refundable deposit of 25% per person is required to secure your place on the retreat.
1.2. The remaining balance is due no later than 8 weeks before the retreat start date.
1.3. If the final balance is not received by the due date, CopperCairn reserves the right to release your place to another guest without refund of the deposit.
1.4. All prices are quoted in GBP (£).
1.5. Payments may be made by bank transfer or online payment. Any transaction fees incurred (e.g. card or Stripe fees) are the responsibility of the guest.

 

2. Pricing & What’s Included

2.1. Your booking includes accommodation (as outlined in the itinerary), selected meals, scheduled activities, photography sessions, whisky tastings, transport during the retreat, and hosted experiences.
2.2. Any items not explicitly listed as included (e.g. additional drinks, minibar items, personal purchases, optional extras) are at the guest’s own expense.
2.3. Single room supplements apply where applicable and are subject to availability.

 

3. Cancellations by the Guest

3.1. All cancellations must be made in writing (email is acceptable).
3.2. The following cancellation policy applies:

  • More than 8 weeks before the retreat:
    Any payments made beyond the deposit will be refunded. The deposit remains non-refundable.
     

  • 4 to 8 weeks before the retreat:
    50% of the total booking cost will be retained.
     

  • Less than 4 weeks before the retreat:
    No refund will be given.
     

3.3. If you are unable to attend, you may request to transfer your place to another person, subject to CopperCairn’s approval and provided all details are supplied at least 14 days before the retreat begins.

 

4. Cancellations or Changes by CopperCairn

4.1. In the unlikely event that CopperCairn needs to cancel the retreat, all payments made will be refunded in full.
4.2. CopperCairn reserves the right to make reasonable changes to the itinerary due to circumstances beyond our control (including weather, venue availability, or operational issues).
4.3. Where possible, suitable alternatives of equal or similar value will be provided.
4.4. CopperCairn is not responsible for any additional costs incurred by guests, including flights or onward travel arrangements.

 

5. Travel, Insurance & Health

5.1. Guests are responsible for arranging their own travel to the starting location and from the finishing location of the retreat.
5.2. Comprehensive travel insurance is strongly recommended, covering cancellation, illness, injury, and personal belongings (including camera equipment).
5.3. Guests must ensure they are medically fit to participate in the retreat and should consult a medical professional if unsure.
5.4. Any health conditions, dietary requirements, or accessibility needs must be disclosed at the time of booking.

 

6. Photography, Activities & Personal Responsibility

6.1. Participation in all activities is voluntary. Some activities may involve walking on uneven terrain or being outdoors in variable weather conditions.
6.2. Guests take part at their own risk and must follow guidance provided by the hosts at all times.
6.3. CopperCairn accepts no liability for loss, damage, injury, or illness sustained during the retreat, except where caused by proven negligence.

 

7. Whisky & Alcohol

7.1. Alcohol will be served responsibly throughout the retreat.
7.2. Guests are expected to drink responsibly at all times.
7.3. CopperCairn reserves the right to refuse service or participation in activities if a guest’s behaviour is deemed unsafe or disruptive.

 

8. Behaviour & Group Conduct

8.1. Drams & Cams is a small group experience built on respect, inclusivity, and good company.
8.2. Guests are expected to behave respectfully toward fellow guests, hosts, staff, and the local communities we visit.
8.3. CopperCairn reserves the right to ask a guest to leave the retreat if behaviour is deemed inappropriate, unsafe, or disruptive. In such cases, no refund will be provided.

 

9. Photography & Media

9.1. Photography and video footage may be taken during the retreat for promotional purposes.
9.2. By attending, guests grant CopperCairn permission to use such images for marketing and promotional use.
9.3. Guests who prefer not to appear in promotional material should notify CopperCairn in writing prior to the retreat.

 

10. Force Majeure

10.1. CopperCairn shall not be held liable for failure to deliver the retreat due to events beyond our control, including but not limited to acts of God, extreme weather, government restrictions, or other unforeseeable circumstances.
10.2. In such cases, CopperCairn will endeavour to offer alternative dates or a credit where possible.

 

11. Data Protection

11.1. Personal information provided will be used solely for the purpose of administering the retreat.
11.2. CopperCairn will not share guest information with third parties except where required to deliver the experience or by law.

 

12. Governing Law

12.1. These Terms & Conditions are governed by the laws of Scotland.
12.2. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.
